What should I count as a software tool?
Anything your team logs into to run the business: scheduling, billing and invoicing, CRM, project or job management, messaging, forms, inventory, reporting, and the connectors that move data between them. Check your card statements and app store receipts; small subscriptions are easy to forget.
How do I estimate hours lost between tools?
Ask the people who do the work. Count time spent copying data from one system to another, reconciling reports that disagree, searching for information across tools, and fixing errors caused by re-entry. Even an hour a day across a small team adds up quickly.
What is a loaded hourly cost?
The hourly wage plus what the business pays on top of it, such as payroll taxes, benefits, and paid time off. If you don’t know the exact figure, a common shortcut is to take the wage and add a percentage for those costs; your accountant can give you the right number.
Should I replace every tool?
No. Payroll, accounting, and a few specialist tools often work well on their own and are worth keeping. Untick those in the calculator. The biggest savings usually come from the operational core: scheduling, billing, client records, and reporting sharing one system.
